Privacy Policy

1. What we collect

We collect the information a Local gives us to run its membership records. This includes member names, member numbers, contact details, role and status within the Local, and the case or dues records the Local chooses to keep in the Hub. We also collect basic account information for the officers and admins who sign in, and standard technical logs needed to run and secure the service.

2. How we use it

We use the information to provide the service to the Local: to issue and verify member cards, to run cases and dues, and to produce the reports the Local asks for. We use account and log data to keep the service secure, to fix problems, and to support the people who administer it. We do not use member data to build advertising profiles.

3. Canadian data residency

Member data is hosted on Canadian infrastructure. The roster and the records around it stay in Canada. Where a support task requires access, that access is controlled and recorded.

4. Member data and separation between Locals

Each Local's data is isolated at the database level. One Local cannot see another Local's members, cases, or dues. Access within a Local is limited by role, so people see only what their role allows.

5. The roster is the Local's

The roster and its records belong to the Local, not to us. We never sell or rent member data, and we do not share it with third parties for their own marketing. We act on the Local's instructions in handling the data it holds in the Hub.

6. Your rights

Members and Locals can ask what data is held, ask for corrections, and ask for a copy of their records. Requests from an individual member are directed to their Local, which controls the roster. We help the Local respond.

7. Retention

We keep member data for as long as the Local uses the service, and for a limited period afterward so records can be exported or restored if needed. When a Local leaves, we delete or return its data on request, subject to any legal retention the Local is bound by.
